
Groups & Events Coordinator
The Groups & Events Coordinator reports to the Associate Director of Groups and Events and looks after all group (10+ rooms) and banqueting and event room sales for the Almanac X Alcron Prague. Works hand in hand with the Sales and Marketing department colleagues and the Operations team.

Sales of events and room allotments, support customers from inquiry to invoice payments.
Follow up prospect groups promptly aiming to influence decision maker, in professional
manner, during decision making period. Conduct contract negotiations and event arrangements.
Responsible for reaching monthly targets.
Process all incoming events, catering and group reservation inquiries and bookings.
Contact person for customers during the entire event planning and execution process.
Plan, organize and hold pre-function and weekly function meetings.
Prepare, implement, and hold professional site inspections and client meetings.
Work with the Hotel Sales & Catering system, insert all requests and relating correspondence accordingly.
Work with MICE online booking portals (Cvent, Helms Briscoe, etc.).
Work on customer events in cooperation with Branding, Sales & Marketing team members.
Represent hotel at selected hotel and industry Sales events, locally.
Attend weekly and monthly in-house meetings where necessary and needed (Team Meeting, S&M Meeting, BEO Meetings, Revenue Meetings, etc.).
Regular market research and competitive analysis.
Other ad-hoc tasks and duties as requested by the direct supervisor.
You always comply with the law, respecting the relevant regulations and methodologies of the relevant authorities;
you comply with the hotel's guidelines and best practices (Standard Operating Procedures) and the list of regular tasks of your department and shift.
You take care of the hotel's reputation, protect the hotel's facilities and uphold the Almanac brand standards to assist the needs of guests and indirectly support the hotel's sales activities;
You inform your supervisor of problems and unusual occurrences;
You actively participate in training and meetings organised by the hotel or your manager;
You assist your colleagues and colleagues from other departments when necessary;
You meet the needs of guests to the maximum extent possible by fulfilling your duties and satisfying their requests in the shortest possible time;
You accept a flexible work schedule when necessary to ensure uninterrupted hotel operations;
You take an active interest in new developments in the industry;
You perform activities arising from job duties and responsibilities in a timely and efficient manner;
You maintain a friendly atmosphere and working relationships among colleagues, thereby contributing to a positive working climate;
You show respect for guests, co-workers and other people you meet through your behaviour;
